Production tools

GEST has various production tools (collections), including a shift template, event schedule, production schedule, and organizational management (manager panel). 

Collections gather and combine information. They can be linked into larger entities. The system links information between different groups of people and collections, e.g. you can link employees to platforms and volunteers to shifts.

Collections help the entire team stay on top of production progress, and important information is conveniently accessible or easily shared. Collected information is easier to manage. 

Creating a new collection

A new collection is created by clicking the + button. We recommend adding a year or event to the name, e.g. Talkoovuorot Festival X 26.

There are several types of bases that are suitable for different uses:

Custom: A blank template that can be customized as needed.

Organizations (Group/band): For collecting and managing bands, clubs, partners, vendors, etc. organizations (groups).

Event locations (Venue): Suitable for gathering, managing and coordinating event venues or stages.

Production schedule (Production): Suitable for planning and monitoring the overall picture of production. For example, it is easy to create stage and construction schedules with this. You can also create a link from the table and send the schedule to, for example, regional and stage managers, administrators or construction crews. 

Shifts (Schedule): Planning and creating work shifts, training schedules, etc.

Program schedule (Timetable): Suitable for coordinating stage and program schedules and venues. The tool can be integrated with WordPress if desired, making the schedule visible on websites.

Once you have chosen a template for your collection and named it, you can edit the form fields. Please note that only Custom and Group/band collections can be shared with a link for external users to complete. All other collections are supplemented only by the producer.

Venue, Production, Schedule and Timetable tools do not collect information from outside parties, but the form fields are the headers of the home page, e.g. stage name, date, workstation, etc. They are edited like the fields on the person group form: drag the desired field onto the form with the mouse and remove unnecessary fields from the red cross.

Depending on the template, the form has different field options and dedicated fields. A dedicated field only collects the information assigned to it.

Card template (Custom and Venue)

Organizational Management, Production Schedule, Work Shifts, and Program Schedule differ in their functions from the card template and from each other, and are handled on their own pages. 

The front page of the Custom and Venue collection templates is very similar in functionality to the people group view.

• You can add a new row by clicking Add new. With the Import function you get a bigger list in at once. 
• You can edit the form fields and collection settings under Possession.
• From the top left row of the view, you can add different tags.
• You can change status Vacancy Let's go via the menu.

The Functions menu has fewer functionalities than the Personal menu.

Editing collection data

As with personal information, clicking on a name allows you to view and edit information.

The information displayed under the name can be collected using a form or added directly by the producer. The producer can also supplement and edit all information afterwards.

Schedule: When a person/venue/band is added to a timetable, the information appears here. For example, GEST creates a personal timetable for performers, specifying dates, times and venues.

Collections: Collection information can be linked to other collections.

Cast: People can be added to the collection, for example from groups of people or added directly by the producer. People can be, for example, performers, employees, volunteers or contacts. People can be sent emails and text messages directly from the collection view, and their check-in status is also displayed here.

Products: For example, a band or venue can be assigned various products that are needed for the event. These products can include event technology, effects, musical instruments, or catering.

Tags: Collections can also be sorted using tags.
