Check-in
GEST's check-in features simplify and speed up the check-in process during an event. The check-in view contains all the necessary information about each registered person, eliminating the need for separate registration lists. GEST also allows for step-by-step check-in, for example, for an event lasting several days.
Check-in is separated into its own entity, allowing it to be used without access to person forms or collections data. Temporary check-in usernames can therefore be safely created for, for example, volunteers or other seasonal workers outside the production team.

Check-in window
You can log in by clicking on the green check-in button on the upper left corner of the front page, which opens the check-in view.

Registering a person
- Enter in the search field person's name. You can also search for people organization or group of people mark, by phone number or by email. Below are instructions for group login.
- Select from search results to be checked in person.
- The same person can be in several different person groups (for example, both artist and guest), so it is worth making sure that it is the right person. If the person is in more than one person group, you can review the profiles, provide the necessary products and check them in in both roles. Both entries must be made separately.
- By clicking green check-in button You can access the person's information and log them in.

Person check-in view
From the Check-in tab You will find all of the person's shifts and events, payment transactions, collections associated with the person, and assigned products. Here you can also write notes related to the person that are visible to other users.
The check-in window is divided into three tabs: Check-in, Information and Documents. In the example account below, documents are not in use, and therefore they are not in the check-in view.

If the documents function is on and documents have been created for the person group, the check-in window also shows Documents tab. The Documents tab shows you which documents have been assigned to the person. You can also download and print them if necessary.

From the Details tab you will find all the information provided by the person, which he has completed in the form. Here you can quickly check, for example, a person's phone number or email address. Log-in functions can be limited by creating separate check-in user credentials, so confidential information is not visible to everyone. The Details page can be hidden when using only Gate IDs.

Products, shifts and log in check-in view
- In the person's details, you can see the messages assigned to them. Products and possible shifts, holding or documents.
- Check that the information matches. Then select the products to donate and mark person arrived to happen or turn by ticking them.
- If you are registering an employee for a shift via check-in, check the shift box.
- Finally, click check-in button. Now the person is logged in.

The registration remains in the person's data timestamp (check-in log). The timestamp shows the exact time the person logged in and who made the log-in.

You can also record a person's check-in in the view considerations and notes, which are visible to everyone. Be sure to check and take advantage of the feature.
Status and check-in
Basically, the check-in view allows you to check in: only approved people. You can change this group of people if you want. From the Administration tab, go to Settings -> Allow check-in without approval. In this case, you can also check in people with other statuses.
When a person has not yet received all their products or checked in to all shifts or events, their status is partial check-in. Only after receiving all products and registering for all shifts or events does the person's status change fully checked in (check-in).
Group check-in
Each person must be logged in separately, but the process can be sped up for organizations.
- Book organization name Search for people
- All people in the organization will appear in the drop-down menu (everyone who is associated with the group).
- Note: the more accurately you enter the name of the organization, the better.
- Don't select anyone, just press Enter.
- After this, you will see all members of the organization (e.g. a band) or people connected to it. listed.
- After that you can misfire all cast through and check them in. People must be registered individually.
Remember to check, that you provide all the information addressed to the person Products. You can also record a person's check-in in the view considerations and notes, which are visible to everyone. Be sure to check and take advantage of the feature.


Checking out persons
If it is a multi-day event, the person can be checked out at the end of the day.
- Open person information in the check-in view. Tick Check out –Click on the correct turn.
- Click Check-out.
If you checked in a person by mistake, you can easily cancel this on the check-in view by clicking Cancel check-in. Both logging out and canceling logging in leave a time stamp on the person's data.

Extensive search and various search functions
On the right side of the check-in view, you will find search functions that allow you to perform advanced searches related to check-ins, statuses, and products.
You can view even more extensive search functions from the Search tab. The search functions are convenient when you want to view, for example, the number of volunteers who did not show up or all checked-in guests who have picked up their passes.
You can filter the view according to logins, groups of people, status and products. When you have made the selections you want, the view will filter all the people who meet the criteria.

Check-in codes
Check-in functions can be restricted by username, so that confidential information is not visible to everyone. Creating usernames is discussed in section Settings.
Different user levels in the check-in view
Admin: Administrator level, which can manage user account settings and create new ones usernames.
Editor: The Editor user otherwise has the same rights as the Admin user, but the Editor cannot create new usernames or edit them.
User: User has limited editing capabilities for forms and collections.
Gate Plus: Gate Plus users can access check-in functions only.
Gate: A Gate user otherwise has the same rights as a Gate Plus user, but the user has no right to view information recorded by individuals on the form via check-in view.
Note: If the person cannot be found at check-in, check that
- The person has been accepted for the event
- The check-in person (Gate or Gate+ rights) has the right to see the form information and those who have registered. Check this form management, from the point rights.
