Follow-up
Post-completion, following up, can collect information in two different ways.
- Through it you can asks those who have already registered to complete their own information. This feature is suitable for use when you want to ensure that people who have registered for an event can attend the event, or when you want to inquire about possible food allergies. Post-replenishment can also be used to collect feedback.
- Through it you can provide externally selectable work shifts. You can find more information and instructions about this feature here. through here.
Those who have registered for the follow-up will be sent an email containing the %recipient.filllink% placeholder. This creates a personal link in the message, from which the registrant can complete their information or select shifts. Creating message templates is discussed in the instructions in section External communication.
Example of using backfill
Problem: Something essential has been forgotten to ask on the original form.
Solution 1: Wait until everyone has registered and filled out the form, then add the forgotten question to the original form and send a follow-up to everyone.
Solution 2: You can add a field to the form immediately for new users to complete and send the new fields to those who have already registered for later completion.
It is important to note that only the fields from the original form can be used for the supplement. So if you want to supplement the registration of people with new information, you can add new fields to the form. You can specify in the settings which fields the person can complete.
Collecting new information with post-processing
- Add the new fields you want to the form. Finally, remember to click Save. Once the fields have been added to the form, they will immediately be visible and available for everyone to fill in. If you want to create the fields that can be filled in later, but don't want people to fill them out yet, use the Hide function to hide them.
- If you have created admin only or hide fields when creating the person group form, you can visit returning them back for all to see and fill. So, unhide.
So either wait before adding fields and create them when you are sending the form for completion. Or create them in advance and hide the fields so you don't have to create them later. In either case, you should always send a completion link when you want to collect new or additional information.
Enabling replenishment
When you want to enable post-completion, go to form management --> Publishing settingstab. Check Follow-upbox and press Save.

After this, the Replenishment tab will appear at the top. Select the function and you will be taken to the tab.

From the Post-fill tab, you can select the form fields you want to be filled in/edited.
- Showing menu, lets you select the fields that the person can see using the post-fill link.
- Editable The menu allows you to select the fields that the person can edit.
- You can select the functions in this section if you are giving shifts to people to be selected externally. If you are interested in this feature, you can read more about it here through here.
However, if your purpose is only to update, edit, and supplement information, do not select the options in section three.
Note: The fields you created and those that are visible are displayed. So remember to create or unhide the field before this step.

Sending the follow-up link
For follow-up, a message template must be created, to which the follow-up placeholder %recipient.filllink% is added. This placeholder is edited into a personal link for each recipient, which they can use to access their own information.
Creating message templates is covered in the instructions under External communication.
The person can return to the link and it will remain active. When you no longer want people to be able to edit the information, go to the Post-fill page and uncheck the Editable box.
The follow-up message is sent by email from the person group's homepage. First, select the person or people you want to send the completion link to from the person form's homepage. You can select all at once by clicking the Status button. You can also select people by tag or specific product.
After selecting the people, choose send an email from the Let's Go menu and then, press Let's go.


After this, you can finish the message:
- Enter the sender's address if it is different from what is automatically entered (your email address).
- Select the message template you want from the drop-down menu.
- Double check that everything is in order and that the placeholder, %recipient.fillink% is attached to the text.

By clicking on the link in the message, the person can access their own form and enter the desired information. The completed information will appear in the personal information.
A follow-up is good, for example, when you want to make sure that a person is coming to a certain event. A follow-up also serves as a good reminder.

What to consider when following up
- The follow-up will be sent to the person whose email address is provided on the form.
- If the e-mail has not been collected on the form, the follow-up link will not go out.
- The form's publishing settings (front page) are the same for registration and post-filling. This means that if you ask an entire group of people to post-fill their information later, it is a good idea to rewrite the instruction text on the front page.
- If you have a confirmation email of filling in the form in use, we recommend that you also edit it. The %formcontent% placeholder that is sent with the confirmation email, which shows the registrant's information in the confirmation email, does not show the registration information in the email sent after the follow-up. You might want to therefore remove it, if you want to have a confirmation message in use. The follow-up link is still active, and the person can check their information through it.
Adding additional persons after a form has been sent
- Even if the person has registered additional people, e.g. avec or employees, through the same registration form (personnel form), the person filling in the form cannot edit other people's information, only their own.
- If these additional people have their own email addresses, links for completing the form will be sent to them by email. If there is no address, the link will not be sent and the information cannot be completed.
- If the e-mail address of the notifier has been entered for the additional persons, then he can supplement the information afterwards.
- The confirmation message of the registration will also be sent to the address registered for the person.
